Program Assistant - Student Affairs
Job summary
The Program Assistant coordinates administrative processes and prioritizes, directs, and responds to business matters involving administrative functions associated with education, research, and/or operations. This position creates and maintains associated documents, spreadsheets, databases, meetings, special events, etc. and alerts supervisor of critical issues and upcoming events.
Under the direction of the Qatar Student Affairs Associate Director, creates and maintains a rich collegiate experience for the undergraduate students of NU-Q. Executes the operational logistics of Student Affairs activities with the goals of fostering student engagement and a holistic NU experience.
Specific Responsibilities:
Accounting
- Processes routine payroll actions.
- Maintains accounting balances for grants/contracts.
- Advise student groups regarding student activities, finances, and programs within the confines of institution regulations.
Coordination
- Manages supervisor's and/or department calendar.
- Organizes and coordinates events which may include creating timelines.
- Collects agenda items and background materials.
- Creates registrant profiles.
- Prepares annual event, conference and/or meeting budget.
- Verifies invoices and expense reports; and/or reconciles to budget.
- Organize and implement student activities designed by Student Affairs.
Student Services
- Provides a variety of administrative support for student services such as recruitment; admissions; applications; curriculum; program evaluation.
- Recommends alternatives for course requirements.
- Reviews administrative processes and procedures regarding student services and recommends changes.
- Develop student activities and organizations, including student government.
Supervision
- Coordinates work of receptionists, program assistants, temporary/work-study students, secretaries, research/clerical assistants, interns, etc.
Miscellaneous
- Performs other duties as assigned.
Minimum qualifications
- A high school diploma or equivalent required.
- 4 years of administrative support or other relevant experience required.
Minimum competencies (skills, knowledge, and abilities)
- Excellent oral and written communication skills.
- Highly organized, detail oriented, and able to manage multiple projects simultaneously.
- Demonstrated ability to relate well to students, faculty and administrators.
- Effectiveness in working with a diverse student, staff, and faculty body.
Preferred qualifications
- Experience in higher education or business environment.
Preferred competencies (skills, knowledge, and abilities)
- Familiarity and background working with students from the Middle East or internationally.
- Working knowledge of education systems of countries throughout the Middle East and neighboring regions.
- Knowledge of college policies, disciplinary process, and legal issues in higher education.
